How to Ask Business Data Questions in WhatsApp and Slack

Write clearer questions, keep the business definitions consistent and check who will receive the answer before connecting a messaging channel.

Asking a business-data question in a messaging app should be a shorter route to the same information you would trust in a report. It should not create a second, unexplained definition of revenue or give a channel access to data its members are not allowed to see.

A useful starting point is a connected data model, an authorized user and a question with a clear metric, period and comparison.

Make the question specific enough to check

“What happened to sales?” may be a good conversation starter, but it leaves several choices open. Which sales measure? Which period? Compared with what?

A more checkable version is:

What was net invoiced revenue in August 2026, in USD, and how did it compare with July 2026?

If the model contains the relevant measure and periods, a useful answer should identify the amount, the comparison and the scope. If a term is ambiguous or the data is missing, clarification is better than an invented result.

You do not need to write a database query. You do need to make the business meaning clear enough to review.

Ask follow-ups that preserve the context

Use a sequence that moves from the total to the breakdown. For example:

What was August revenue compared with July?

Which region contributed most to the increase?

Show the change for each region in dollars, using the same two months.

In the fictional example from our Excel dashboard guide, revenue rises from $114,000 to $128,400: an increase of $14,400, or 12.6%. North contributes $8,000 of that increase.

That sequence is easier to check than a broad request for an executive conclusion. It also makes a context mistake visible: if a follow-up suddenly uses a different period, the answer needs correction.

Separate a calculation from a cause

“Which region contributed most?” asks for an allocation of the numerical change. “Why did revenue increase?” may ask for a causal explanation.

The sample data supports the first question. It does not contain promotions, prices, customer wins or sales activity, so it cannot establish the second. A careful response can describe the pattern and identify what additional data would be needed. It should not turn a plausible story into a fact.

The same discipline applies to unusual results. Before treating a sudden decline as a business problem, check whether the source is complete, the period is comparable and the metric definition stayed the same.

Start with a small set of agreed questions

Choose five questions your team already asks regularly. Define the expected answer using a trusted report or calculation. Include a total, a period comparison, a breakdown, a follow-up and a question that should not be answerable from the available data.

The last case is important. A system that returns a confident answer to everything is not necessarily more useful than one that correctly identifies a limit.

Run the same questions in the web app and the connected channel. Compare the values, periods and authorized data—not just the wording. Do not assume similar-looking answers have the same basis.

Authorize the destination, not just the sender

A person may be allowed to see a metric while a shared channel is not an appropriate destination for its detail. Review channel membership, notifications and forwarding risks before posting business data.

Start with a narrowly scoped destination and non-sensitive examples. Connect the correct identity to the correct model, and test a user who should not have access. Access changes need review across the portal and the messaging setup; do not assume every permission is inherited automatically.

Use chat for access, not as a replacement for review
